COHP Employee PC Purchase Policy Follow
Purpose:
This policy provides the guidelines that City of High Point will follow in determining the eligibility and as guidance for the process that must be followed for employees who are interested in purchasing out of warranty PC and Laptop equipment.
Scope:
This offering applies to all City of High Point employees who wish to purchase their COHP issued PC and Laptop equipment upon expiration of its warranty.
Policy:
The city allows all its employees to purchase COHP PC and Laptop equipment once has gone out of warranty. The purchase price will start at $200 but may scale upwards depending on the make, model, OS, various features or customization. Each device will undergo a full assessment by the COHP IT Department for verification of eligibility and purchase price determination in accordance with procedures and guidelines. Upon verification of eligibility, purchase approval and final equipment purchase, the equipment will no longer be supported by City IT staff. All devices will be reimaged for removal of sensitive city data and will no longer be issued an asset tag.
Procedure:
1. Eligibility: To be eligible for purchasing CoHP desktops, laptops, or tablets, you must be a City of High Point employee or soon-to-be CoHP retiree. The device must be issued to the employee who is seeking to purchase. The device must be outside of warranty and has been replaced with a newer device. Please do not solicit the replacement of computer equipment for the sole purpose to purchase old equipment. Equipment stock availability and budget for new stock must be taken into consideration. The device must be under the employee’s care prior to falling out of warranty. Employees are not authorized to purchase a device that was issued to another employee. Employees who wish to purchase CoHP equipment but do not meet the requirements can check GOV DEALS.
2. Pricing: Each eligible device will have a starting price for purchasing, but may scale upwards depending on make, model, OS, various features or customizations. A full assessment will be completed by COHP IT staff prior to sale offer. The starting prices for mobile & desktop devices is $200. Pricing for non – standard devices will be determined by IT upon expiration.
3. Upgrades, Extras, Support & Disposal: All devices will be sold as is, COHP IT staff will not upgrade the unit as part of the sale. Eligible PC and Laptop equipment for sale only. No peripherals, such as keyboards, mice, monitors, etc. are included. The device will be reimaged so that no sensitive city data is exposed. Asset tags will be removed. The City IT staff will not support the device after the sale is complete. Employees who purchase IT equipment will be responsible for its maintenance and support. If the device is not purchased by the employee, the City IT staff will retain asset and place in loaner pole, take to warehouse for sale, or have destroyed at materials reclamation facility.
4. Payment and Signed Agreement: The payment will be made through the city's approved payment methods. All sales are final. Prior to the sale, employees must sign an agreement stating that they understand that the device is not supported by the COHP after the sale, and that the City is not liable for any issues that may arise after the sale.
Conclusion:
This Policy ensures that all employees can purchase their city issued PC or Laptop equipment once it is out warranty, but subject to eligibility requirements and guidelines. This policy ensures that the device is reimaged, and all sensitive city data is removed. The COHP IT staff will not support the device after the sale is complete, and employees who purchase IT equipment will be responsible for its maintenance and support.
